SPOT Meeting Minutes 2009-12-14

Present: Bill, Ralph, Al, Kyle, Rick, Ed, Nancy, Anya, Carolyn, Heidi, Ron, Christa


1. Any updates on the new monitoring system, has it rebooted itself, if it was needed over the last week and a half?

Ron - on the circ gateway, Dec. 8th, around 10:30 est. time operations rebooted, and checked to see if there is no response. But it did what it was supposed to do and actually wait two ten minute periods, and not just after one minute.

 
2. Any updates on the coming UI for Anya, Kyle and John? - Ed says that Mindy was suppose to sent it to AA KB JH on Friday 12/11. Ed will check on the status with Mindy at OCLC.


3. Progress on radio button selection staying constant? (HN)

When you select a radio button, Ed, the buttons were sticky and has raised with the development office. To make sure the short loan stays set and long term does not change. And give an update on how quickly  

4. Progress on why title fields blank in Nav stats? (HN)

Ralph when they pull the data, they only pass over the OCLC number and populate their tables, and last read he got. It would always be a month behind. What they can - Ralph will check on this. What day of the month do they grab them on. - Resource sharing stats. send in


The stats will be different in those area, the NRE are just borrower lender, where the filler or stats up. Jasper reports in the staff interface, use these pretty much as the main point.

Jasper is now on the monitor, but has been giving some issues to Summit folks.


5. Progress on telnet circ functions for multi-library sites? (HN)

Ron from OCLC, made some code changes in their system to use the telnet circ function. They had a meeting with Anya and Kyle to get around the best way. On the checkin side, there may already have - Anya and Kyle some other automated to handle returned materials with holds on them. Anya will look for other III systems that have the automatic checkin system turned on, you check it in on the local ILS. We will look at some way to put. SPOT group will look at the overflow.

Go ahead and send stuff on to Ron, when we have a possible work around. Although, no updates will be installed until after January 4, 2010. If the system either patron or staff goes down during this time period. They will put in the Western Washington pin stuff by this next Thursday. They are pretty much dead, till next Thursday. Got to have the advanced warning from our users when they make a change to their local system. Should they go ahead and process the requests? Have them action it to not supply until next Thursday. Should not cause any circ gateway problems.


 6. Any patrons removed by Ralph over the last week and a half?

Last week, they took a copy of production database, and then crippled it, and testing the deleting of the objects. 600,000 and 200,000 that have requests, he will send Anya a schedule so we will have an update on when the lead. This will change the deletes, he has not run yet, but will put it in place to run every time. He has the script ready to go.


7. Illiad Upgrades no issues with NRE?

No real issues, because no RTM no problem right now, but after the ugrade.


9. New Rota proposed by Ralph

1. Make the Rota numbering less ridged. We talked about this before and I believe that this is close to how you calculated lending strings in your old system. In the table below the top 4 will all be given a sequence of “1” then we would sort them using a random number. The next change in the Ratio would trigger the next sequence number and so on.


2. Currently we are calculating stats starting at Feb 1st 2009 to present. I think that we should only use the last 6 months of data in our calculation. Again I believe this is in line with what you were doing before.


3. Run the script to calculate the Rota once a month. Now that we are giving more than one group the same sort sequence number(with random) it would make more sense to leave the Rota sort sequence alone for a month to give more time for the institutions to build up their stats. I assume is we did run the script weekly we would get the same result but I think monthly is easier to track.


4. Go back to one Rota sort. No need to have the second sort.



Solution: OCLC can not control the number of requests that come into a site, whenever we have a lot of requests come in from one site. One week, you hardly have any and then you do not have anything. We count number of requests placed by an institution and then number shipped. So if your library requests a bunch, then you may have.  Will put in place right after the first.


Any Updates:


A. EST time addition. -  Database, not  going to happen any time soon.

B. Ralph writing up a solution for staff requesting.  We'll have to talk to him for an update. Also, if staff requesting where should we put the volume information so it gets passed through the CG.

Ralph - Mary Ann is working on this, and potentially it was in the original manual. Believe to be done and should.

D. Status of ezproxy - Jennifer said someone was writing this up.

F. Editions follow up : "OCLC: provide Alliance with an update on plans during November" action items from the CALL to ACTION CALL on NOV 11 - Needs to have user interface mock ups, the current edition of your group. No pictures on this. Search display results, All I want is this edition or any related edition in our group. Then NRE Will know what to look for. Will we be able to see some pictures (Anya) - Ed will circulate the document.

G. PUA/VP - OCLC: provide Alliance with an agenda and details on what is planned for ALA- action items from the CALL to ACTION CALL on NOV 11

Christa will circulate, and get Anya. Ed is aiming to get specs for editions thing by end of week.
