SPOT Meeting Minutes 2009-09-20

Stated Agenda
    1. What is happened with circ gateway last Monday, Tuesday, and Wednesday
    2. Support issues - turn around times, getting to a steady state.
    3. Editions requirements
    4. Our thoughts about Visiting Patron.
    5. When are you leaving us? who will replace you? who is the product manger.


Notes from the meeting:

Action : Anya to ask Elizabeth  to send a poll for an every other week meeting with OCLC, on the off weeks we will have the SPOT call.  The poll will be for Monday, Thurs, Fri at noon pacific time.

REGARDING - AGENDA ITEM 1.

-Java Virtual Machines profiles are being added to gateway to alert the gateway team to problems with timeouts and gateway issues.  (This will also allow them to diagnose what happened better.)
- Monday the Servers for the gateway tanked - no news on what the cause was, had nothing to do with usage (Interesting how the tanking had effects on both requesting items, and the placing of holds. I think what comes from here, is we really need a way to manually push these requests to different statuses without the Gateway being involved.)

REGARDING -AGENDA ITEM 2.

Action: Ralph: send Anya a report of all closed TOPDesk reports (one time)
Action: Ralph: send Anya a report of all open TOPDesk reports (weekly)

Enhancements :
    - adding a flag into the action screen to update the circ gateway system
    -adding a jump to feature with in the queues
    -having "too long" reports

Information:
    -Whitman - an install will take place tonight to the circ gateway to allow Whitman to be back up and running
    -Ralph is looking into ways to let us manually place holds
    -Ralph, Ron, and Jennifer  are going to work on documents to inform the membership on what to do if the gate way goes down again or if requests get stuck. These documents will be designed for libraries that have place hold and for libraries that do not have the gateway place holds.
    -Asked to be kept in the loop on support issues, so that the Alliance knows our request are being looked at

OTHER ACTIONS

1. Anya to have Elizabeth send a poll out for this Thursday the 24th of September, for a meeting with Jennifer to discuss  Visiting Paton and Editions.
2. Jennifer to talk to us about agenda item 5
3. Jennifer and Anya to work on Project management
4. Spot Team and Jennifer work on prioritizing enhancements and upgrades.
5. Jennifer is going to check on if it would be possible for a non-first search library to configure their summit availability without a first search subscription.
