SPOT Meeting Minutes 2009-09-03Present: Bill, Ally, Carolyn, Rick, Laura, Heidi, Kyle, Jean (could be missing someone)1. If a library is going to use automated checkout/checking then they are going to need to keep their telnet menus. 2. Visiting Patron / pickup anywhere – trying to figure out the best way to do this. Could be maintaining an external database. Jean is going to call/e-mail Ralph with the idea of a master Summit library which we are all part of. 3. We seem to still be experiencing frequent local NRE problems, but many of these have to do with library’s changing their individual ILS configurations without the knowledge of how it will affect Summit requesting/etc. 4. This brought up the discussion that it may be necessary to bring back some of the circ, etc. specialist groups to write up some of the rules and procedures for Summit as we seem to have quite a variation of expertise on the SPOT group. 5. Drupal site will now have a new web address: http://summit.wwu.edu/ 6. This will be a great place for some of these experts to write up and post their materials. 7. We went over Heidi’s reciprocity proposal for council and it looked good to go on. We did want to include the graphs and name any charges. See below for text: Here is a copy of the proposal to Council that Hiedi put together. “Reciprocity Proposal: That starting on January 1st, 2010, all Summit libraries loan returnables to each other free of charge through ILL (already doing so through Summit). Why? Summit libraries are already loaning returnables to each other at no charge through Summit. However, a small percentage of items can circulate through ILL but not through Summit. Also, with the increase in Summit technical glitches many libraries are choosing to fulfill these "Summit failed/non-supply" requests through ILL, either by staff entering the ILL request or by pointing the patron to ILL and asking them to re-request. However, since 3% of Summit libraries do still charge to lend through ILL, some libraries are reluctant to send these "Summit failed" ILL requests to fellow Summit libraries out of fear of being charged. Also interestingly, our survey results from Summit Day 2009 showed that while only 3% of Summit libraries charge to lend through ILL, 18% of Summit libraries will charge only if the other library charges them (reciprocal charges). What this means, in effect, is that the 3% of us who charge are causing extra work for 18% of us. Thus we propose that all Summit libraries agree to lend returnables to each other free of charge regardless of method of request (ILL or Summit). |
