SPOT Meeting Minutes 2009-08-20

Present:  Jean, Bill, Rick, Laura, Andrea, Heidi, Carolynne, Allie (Anya, Kyle, Nancy)

(SPOT met by conference call in the morning, and again in the afternoon by phone with OCLC staff.)

Upgrade Issues

A.    Cursor problem – will be addressed this afternoon

Afternoon: Ralph believes he has a fixed installed for this on the Summit Test system
B.    Timing Out – appears to be only 20 minutes, not two hours
Afternoon: Ralph is going to check on this
C.    Strange things in queues pretty much all gone now

D.    Staff review queue is looking like a useful addition

E.    We need some way to push through the requests that fail on circ-gateway, Ralph is working on this. We need to have requests completed to received no matter what. We would like it to record the error and still move on to the next step. Kyle will ask about this.
Afternoon:  Ralph is going to work on this with developers to see if this is possible.
F.    It was noted how all the other odd problems (paging slips issues, Oracle server issues, etc.) all decided to happen on the same day after the upgrade.

G.    The standard search screen does not include completed requests as it used to, we would like added back in.
Afternoon: It should include them and Ralph is going to work on getting this fixed.
H.    Sites were seeing themselves in random spots on the rota.  These requests were still going into the Idle/Check Manual queue. 
This was fixed that day.  Now, when the local site is on the rota, they appear at the top.
Web Page Tip Sheet

A.    Nancy is creating an excellent resource. We will include in the next newsletter, and we also discussed the need to document on the web, as e-mail is lost so easily.

Problem Reporting

A.    Anya is going to forward problems without obvious solutions submitted on the problem report form to the spot-alliance list serve with the subject “PROBLEM”

B.    Jean is going to send out an e-mail to summit-circ letting people know we are aware there were issues with the problem reporting, but it is being worked on. She is also going to clarify where to send messages for help, summit-circ vs. problem reporting. Nancy will add this to the tip sheet she is compiling and Anya will include in the next newsletter.

 Jasper Reports

A.    Nancy has contacted Ralph a couple times to see if the locations in the Jasper reports are the most current settings
Afternoon update: From what I understand they are the most current, Ralph has also added an option in the NRE interface to see your current Summit circulating locations under the Locations link.
Newsletter and Statistics

A.    It is believed that all requests get counted as a request as soon as someone hits the submit button. But just what happens to the ones that no ROTA is built, or etc.? Do these go to the unfilled totals? We will ask Ralph in the afternoon call. Anya has also stripped out certain wording, which made the statistical inclusion more agreeable to the group as a whole. No date to send out yet, but I bet Anya will send to everyone one more time first.
Afternoon update: All requests get counted right now, but the ones that crash (ie. No rota built) do not currently end up in any statistical category.  We want to keep it that way for now. Also, means the newsletter should be good to go.
Availability   

A.    We had a great discussion on availability and the different elements which come into play. Both from NRE and the Worldcat Registry come into play in the process. When each one comes into the requesting and display process can be confusing. A diagram on this would be great, and I believe this will be worked into Nancy’s tip pages. It was recommended that we try and come up with a best practice that all Summit libraries could follow.

Some libraries will use their Worldcat Local Self-Configurations and other will use their QuickStart option. Bill forwarded the following URL from OCLC which explains the the QuickStart http://www.oclc.org/us/en/worldcatlocal/quickstart/

The NRE configuration determines if a ROTA can even be built, based on the locations.

The display “1 of 1 available” or “0 of 1 available” is determined by the registry settings and locations entered in those tables. How to set these will be the special topic of a meeting next week.

A.    They are working on various challenges, most noticeable is the alerts given to staff in the telnet mode.

Next call
