Charge for FY10
- Work to retain current members and attract additional ones in pursuit of expanded collection exposure across the region.
- Write and submit NEH grant to add new members, facilitate the participation of current members, and add additional finding aid to the database. (July 2009)
- Write and submit NHPRC grant to integrate traveling archivist and institutional mentoring program. (October 2009)
- Monthly publication of use stats, finding aid numbers, top retrievals, and regular reminders of available stats
- As a strategic issue, focus on attracting and retaining non-academic institutions as members
- Collection-level finding aids
- Calculate how many collection-level finding aids are in the database
- Encourage addition of more collection-level finding aids

Add digital content to existing finding aids
- Determine how many finding aids currently have links to digital content
- Encourage members to add links and promote existing tools for doing so
- Assess why members are or are not adding links
Ongoing care and feeding of members:- Remind members of the tools that we have developed and develop short video tutorials for using them
- Pause for Applause, celebrate members successes, small and large, that relate to our program and to key initiatives
- Continue NWDA News weekly

- Respond to member needs for advocacy support, on their request
- Develop elevator speech/key bullet points as one of member tools
- Use Easy Access and other archival publications to highlight members successes through program membership

- Continue to be involved with the Alliances DP development.

- Complete development of web encoding template
- Create Archivists Toolkit interest group within NWDA for institutions interested in exploring implementation

Begin examination of membership, governance, and cost distribution of budget in advance of digital program development
- Sponsor annual Committee meeting
- Reconsider timing of this and other in-person meetings; pursue video conferencing

Continue to play a role, as needed, with WCL and special collections/archives issues

Cross-search capabilities
- Work with OCLC and Archive Grid to facilitate more harvesting of NWDA finding aids, as members desire
- Respond to opportunities to explore cross-search capabilities with other EAD consortia
Charge for the Chair
The Chair is responsible for guiding the Committee and Steering Team
to accomplish their charge. Activities include communicating with Council and
consortium staff, setting meeting agendas, encouraging participation by all
members, enlisting the assistance of consortium staff, producing reports, and
ensuring that minutes are taken, approved, and posted on the Alliance Web
site.
Charge for the Steering Team
Members
The Steering Team is charged with actively pursuing the work of the Committee. Members of the Steering Team seek compromises and recommend policies
that benefit all members of the consortium. In the fulfillment of this role, the
Steering Team is expected to communicate with the full committee on a continuous
and intentional basis.
Committee Member Responsibilities
Committee
members represent an entire member institution. Thus each representative is
expected to gather input from all relevant divisions, branches, autonomous
libraries, etc. and speak for the member
institution. Committee members serve as primary contact for the institution in matters of membership, finances, and other business, and should ensure that they communicate regularly with the appropriate persons in their organization to keep them apprised of the program's activities. Committee members should make every effort to keep abreast of the program's activities and attend an annual in-person Committee meeting in conjunction with the annual meeting of Northwest Archivists.
